Privacy and Data Collection Policy

Decision Making Modelling by Online Process Systems provides this software application (hereafter, "the services") and collects some data that may be classified as personal information for the purpose of identifying you as a user of the services and allowing your subscription to be administered. This document outlines the data that the services collect, the purpose for which the services collect it, and how you may obtain a copy of that data should you have a legal right to request it.

The data we collect, and why we collect it.

To provide access to the services, we collect the following information about you when you make a request to join the services (i.e. when you commence a subscription):

  • First and last name
  • Email address
  • Postal Address
  • Telephone number
  • Business/Company Name if you provide it as part of your registration details.
These data are collected in the registration page and are collected in order to:

  1. Identify you for the purposes of establishing your subscription to the services. A subscription to the services requires a regular fee, and the processing of this regular fee is administered by Stripe, our payments partner. We provide your identification information to Stripe as part of the payment process, to identify you as a customer of the services, and to meet our (and Stripe's) financial services obligations to protect against fraud and misuse of electronic payment methods including credit/debit cards.
  2. Allow you to access the services. All subscription functions of the services require you to log in with a username and password to prove your authorization and validate your subscription to use the services. We use your email address as your login name, along with a password that you can maintain, in order to uniquely identify your user profile, the subscription you belong to and provide you with access to the services.
  3. Identify you for the purpose of contacts from us relating to the provision of the services. We collect your postal address, telephone number and email address to identify you in case we must contact you about issues regarding provision of the service, our ability to deliver the service, or your subscription to the service.
You must agree to allow us to collect and store this information in order to access the services. Should you decline to allow us to collect and store this information as part of your user profile, your account will not be activated and you will not be able to access the services. Should you revoke your consent for us to continue to store the information as part of your user profile (see "Your right to request that we remove your personal information", below), you will not be able to continue to access the services.

Additional data we collect.

In addition to the personal information outlined above, we record some information that relates to your activities within the services for the purposes of delivering the services. We record:

  • An identifier that uniquely identifies your user profile (your user ID).
  • The data that you create as a product of your use of the services (i.e. your Decision Making Modelling records)
  • The time and date you initiate key events such as updating/deleting data in the services.
This data is stored to allow you to use the services and will be retained as long as you maintain a valid subscription to the services. This data is not shared with any other party.

We may store audit data if your activities on the services cause an error or malfunction. This data is regularly purged from the services and is not shared with any other party.

Your right to access your personal information.

We use your data to provide the services, to validate you have a valid subscription to the services and to ensure that the services are secure. We believe in data transparency. If you wish to see the information relating to you and your use of the services you may obtain it from the "My account/Show me my data" option in your dashboard once logged in to the services. Your Decision Making Modelling data is stored in a proprietary format that is the intellectual property of Online Process Systems, and we will not provide access to any data which may, directly or indirectly, allow you to replicate the functionality of the services. We will provide access to identifying data about your stored records to allow you to validate the content of the record set.

Your right to request that we remove your personal information from the services.

Depending on the privacy policies of the region in which you live, you may have a right to ask us to remove your personal information from the services. If you wish to invoke this right, please note that we only action such requests by global, holistic removal of all of your data from the services (that is, we will not remove parts of your data only), and we will only consider such requests where legislation requires it in the region in which your subscription exists.

If you believe you have the right to request removal of your data from the services, then to exercise your right, you must contact us in writing by postal mail (not electronically), including your full name, address, telephone number and email address, the reason for your request, and the legislation under which you are making the request. The personal data you provide must match exactly the data we store regarding your user profile and subscription to the services. You must include a copy of a proof of identification in an English language document - we will accept a colour copy of a passport identity page, a driver license or a government issued national identity card. Please ensure such copies are watermarked with the word "COPY FOR IDENTIFICATION PURPOSES" and show all of your identification data legibly (that is, do not make the identification unreadable by way of the watermark). You can choose to obscure parts of identification or serial numbers if you wish. Do not send original documents - any identity documents sent to us will be destroyed after your request is actioned and will not be returned. Your request must be signed using your legal signature and must match the signature on the identity document you send to us, and the request must be clearly dated with the date you are making the request.

Requests should be sent to the postal address shown in the contact us page published within the services. Requests to remove your data will be actioned within 60 days of our receipt of your written request assuming all of the above requirements and legislative entitlements are met. We will provide an emailed acknowledgement of your request being actioned when our action is complete, using only the email address associated with your subscription to the services.

Please be aware that should you exercise the right to request that we remove your personal information from the services, your access to the services will be revoked at the point in time when we take this action on your behalf. Such access cannot subsequently be reinstated. Removal of your data will also terminate your subscription to the services at point in time when we remove your information. At the point of termination, any pro-rata subscription fees for your subscription will be forfeit and will not be refunded. To access the services again, you must establish a new subscription.

Your right to correction of your personal data

Your personal information can be corrected by you within the services.

If your name, address or telephone number are incorrect, you can correct these details using the "My account" section of the services.

Your email is your username to the services and is a key through which we reference your user profile. Your email can also be changed in the "My account" section of the services to use another unique email address, but the email must be unique to your account and not used elsewhere in the services. If you are unable to change your email address within the services, please contact us in writing and provide the necessary proof of identity as outlined in "Your right to request that we remove your personal information" to allow us to assist you.
